This is the least fun article on this site and the one most likely to save you £2,000. Fifteen minutes of admin, done four weeks out, covers almost every way a group trip goes badly wrong.
The four-week checklist
- 1Passport expiry for everyone — many countries need six months' validity, and one person always finds out at the desk
- 2Visa or travel authorisation requirements, checked per nationality, not per group
- 3Travel insurance that covers cancellation, not just medical. Cancellation is the one that pays out
- 4One shared folder with booking confirmations that isn't in a chat
- 5Two people with the accommodation address and host number, not one
Money backups
- Two people carry a card on different networks — one Visa, one Mastercard
- Tell your bank you're travelling, or expect a frozen card on night one
- Some cash, split between two bags, for taxis and places that mysteriously stop taking cards
- One shared pot for taxis and tips so nobody's doing mental arithmetic at 2am
